Place Leaders Automation & Privacy
Place Leaders Asia Pacific uses a private automation system to support internal organisational workflows, including newsletter production, research, Awards administration, and knowledge management.
The system is operated by Place Leaders Asia Pacific using n8n and other authorised services. Where required, it connects to the organisation's Google Drive account to access specific Place Leaders files, such as Awards documents and photographs, for authorised internal processing. Access is limited to approved Place Leaders accounts and workflows. The automation is not offered as a public service and does not provide third-party access to Place Leaders Google Drive content.

Privacy and Google Data Use
What Google data may be accessed

The automation may access selected Google Drive file metadata and file content, including documents, spreadsheets, images, and other Place Leaders records required for a specific authorised workflow.
For example, the Place Leaders newsletter system may access selected Awards nomination documents and photographs to verify source material and select appropriate imagery.

How the data is used
​
Google Drive data is used only for authorised Place Leaders Asia Pacific operational purposes, including research and editorial preparation, newsletter production, Awards administration, and archive use, internal knowledge management, and verification of source material. The automation does not use Google data for advertising, profiling or sale.

Systems that may process the data
​
Authorised Google Drive content may be processed through systems used by Place Leaders Asia Pacific, including our self-hosted n8n automation environment and, where required by a workflow, OpenAI services used for document analysis or content generation. Only the information required for the relevant workflow is processed.

Storage and retention
​
Original files remain stored in the Place Leaders Google Drive environment unless separately managed by an authorised user. During automated processing, temporary copies of files may be created. Derived information, workflow outputs, metadata and execution records may also be retained within Place Leaders systems where required for operational, audit or knowledge-management purposes.

Sharing and disclosure
​
Place Leaders Asia Pacific does not sell Google user data. Google data is disclosed to service providers only where necessary to operate an authorised Place Leaders workflow, or where disclosure is required by law.

Access and security
​
Access to the automation and connected Google account is restricted to authorised Place Leaders users and systems. OAuth authentication is used to control access to Google services, and permissions are limited to those required for the relevant workflow.
